Pharma Copay Enrollment Forms Design & Development

Valeris

Overview of work for Valeris

A long-standing partner of Atlantic BT, Valeris, called on us to collaborate and address Valeris’s workload overflow. ABT stepped in to enhance the patient experience for individuals seeking specific medications and health services by streamlining application processes. This pharma copay enrollment forms design and development project involved transforming cumbersome PDF forms into an accessible online portal, with forms receiving updated designs and others undergoing complete redevelopment to modernize and simplify the application journey for patients.

Valeris needed a strategic partner to address the significant challenges posed by their complex, paper-based patient enrollment forms, which frequently led to patient frustration and administrative inefficiencies. Their core objective was to transition to a modern, digital solution that would not only simplify these intricate patient enrollment form flows and significantly enhance the overall user experience, but also establish a robust, secure, and scalable digital platform. This platform had to be fully capable of handling sensitive Protected Health Information (PHI) in strict compliance with HIPAA and other relevant healthcare regulations, all while maintaining high cost-efficiency in its operation. In essence, Valeris sought a partner with proven capabilities in medical enrollment forms development to build a system that would transform patient interaction, guarantee data security, and optimize operational costs, ultimately improving patient access to critical medications and services.

As part of the initiative to modernize Valeris’s patient-facing forms, Atlantic BT completed an accessibility audit of the existing form flows. This audit ensures compliance with WCAG 2.2 standards, guaranteeing that the updated digital experience would be inclusive and usable by individuals with disabilities. Key areas of focus during this audit included the implementation of clear and informative error messages to guide users through form completion, the verification of appropriate contrast levels to ensure readability for users with visual impairments, and keyboard navigation capabilities. This commitment to accessibility was important for companies in the healthcare industry, especially in the context of pharma copay enrollment design and development. Concurrently, we mapped out a technical architecture that would meet the stringent security and cost requirements.

Our development approach centered on building a secure, scalable, and highly cost-effective serverless architecture. For the front end, we used Next.js to create a statically hosted website. The backend was engineered as a serverless API using API Gateway and AWS Lambda, allowing for robust communication with external APIs. To ensure a secure development lifecycle, we utilized Amazon VPC to create isolated network environments for development and staging. This serverless model proved incredibly cost-efficient compared to traditional server solutions.

Security and HIPAA compliance were paramount, implemented through a multi-layered strategy. We ensured data encryption in transit with HTTPS and, uniquely, encrypted temporarily stored client-side PII using the Web Crypto API for enhanced form user experience while maintaining data security. AWS Parameter Store and KMS were used for secure credential management, while signed token authentication secured communication between the front end and backend. We further enhanced security with access control based on domain-specific rules and implemented extensive AWS CloudWatch logging for full traceability and rapid debugging. Our development and deployment workflow was fully automated, with all serverless infrastructure defined as code using AWS SAM and YAML templates, and the entire process managed through Bitbucket Pipelines for consistent, seamless releases.

By conducting a thorough form flow audit, a streamlined process was designed to optimize user experience by removing unnecessary steps while preserving the form’s essential information and integrity. Central to our pharma copay enrollment design approach, Atlantic BT created a universal template applicable across various prescription drug companies. After the creation of a form, ABT leveraged Figma to enable rapid updates and ensure forms remained current. Subsequently, this template was used to develop and brand specific forms for several prominent pharmaceutical companies, ensuring a consistent and user-friendly experience across different organizations. For the backend architecture, we utilized SwaggerAPI and Postman to define and document the API contract, ensuring clear alignment between the front-end and back-end teams. This documentation was centralized in Confluence, providing a single source of truth for the project.

Our partnership with Valeris has evolved into a continuous, collaborative relationship, extending well beyond the initial launch. Through dedicated Digital Project Management, we ensure their platform not only operates smoothly but also adapts to their evolving business needs. This ongoing support provides Valeris with total peace of mind through a dedicated retainer, granting them access to our team for proactive maintenance, robust security and performance monitoring, and reliable on-call support, guaranteeing long-term stability and effectiveness of their medical enrollment forms development project.

Furthermore, we treat the platform as a living application, engaging in iterative feature development to continuously add new functionalities and refine workflows alongside the Valeris team. This ensures the portal consistently adapts to emerging opportunities and user requirements. To empower Valeris, we also provide comprehensive training, fostering self-sufficiency and confidence in managing their new platform. This holistic and successful partnership has solidified our role as a trusted digital advisor, evidenced by our continued collaboration on new design projects, transforming an initial project into a lasting strategic alliance.
